Use this checklist before move-in and throughout the tenancy to help reduce liability and insurance issues.
Insurance Requirements:
■ Require every tenant to carry renters insurance for the entire lease term.
■ Require the renters insurance policy to be paid in full (or verify acceptable payment arrangements).
■ Require the landlord/property owner to be listed as an Additional Interested Party (or other
notification designation required by your insurer) so you receive notice if the policy is canceled or non-renewed.
■ Obtain a copy of the declarations page before the tenant receives keys.
■ Verify the policy remains active at each lease renewal.
Pets & Animal Liability:
■ If pets are allowed, require tenants to disclose all pets before move-in.
■ Verify the renters insurance policy covers the specific pet and breed.
■ Confirm your landlord insurance policy also covers liability for that type of pet.
■ Review your carrier's restricted or excluded breed list before approving a pet.
■ Require updated insurance documentation whenever a new pet is added.
Property Safety & Liability:
■ Inspect sidewalks, driveways, and concrete walkways for cracks, uneven surfaces, or trip hazards.
■ Ensure all handrails are secure and meet code requirements.
■ Repair loose steps, broken stairs, or damaged decks promptly.
■ Remove or repair conditions that could create slip, trip, or fall hazards.
■ Keep exterior lighting operational.
■ Trim trees and bushes that obstruct walkways.
■ Remove debris and other liability hazards.
■ Address snow, ice, or standing water promptly where applicable.
Maintenance & Documentation:
■ Perform and document a move-in inspection with photos.
■ Schedule periodic inspections as permitted by law and the lease.
■ Document all maintenance requests and repairs.
■ Maintain records of insurance certificates, inspections, repairs, and tenant communications.
■ Test smoke and carbon monoxide detectors as required.
■ Ensure fire extinguishers are present where required.
Lease & Compliance:
■ Use a written lease outlining tenant responsibilities.
■ Include pet policies, maintenance responsibilities, and insurance requirements.
■ Verify compliance with state and local landlord-tenant laws.
■ Maintain emergency contact information.
Annual Review
■ Review landlord insurance annually.
■ Verify replacement cost values.
■ Reassess liability limits and umbrella coverage.
■ Update lease forms and policies as laws or insurance requirements change.
